How to Book our Facilities

Rules & Guidelines
  • The person who signs the rental agreement must be present during the entire rental period, is responsible for the conduct of the people present, and is responsible for rental payments.
  • The event time you list on your facilities use contract must also include the time needed for set up, clean up, decorating, and all other preparation time necessary for your event.
  • Full rental payment, rental deposit and event insurance (if applicable) is required prior to entry into the building.
  • Rentals come with access to twenty (20) 6ft folding tables and 100+ brown stacking chairs.
  • The Underwood Park and Recreation District reserves the right to refuse rental if the applicant has previously violated our rules and regulations.
  • The Underwood Park and Recreation District reserves the right to immediately terminate this agreement and the applicant agrees to immediately vacate the premises upon notice of termination for failure to adhere the rules/regulations set forth.
  • Bringing event items in early must be pre-approved by the Facility Manager and appropriate fees collected.
  • The use of candles and/or any open flames is strictly prohibited. With the exception of the BBQ space provided.
  • Attendance over what you list on the rental form is prohibited and can result in deposit being withheld
  • Children must have adult supervision at all times.
  • No one is allowed to affix anything to the ceiling or walls.
  • A completed facility application, rental money, and deposit are required for every rental to be booked and date to be reserved.
  • Hourly rentals are any day of the week up to 4 hours. More than 4 hours is a daily rate (exceptions can be made depending on type of event.)
  • Hourly rentals require a $100-$200 deposit (depending on type and time of event)
  • Ongoing rentals must be paid one month in advance.
  • Clean up is the responsibility of the renter and requires the building to be left in the exact condition as upon arrival.
  • Daily rentals are required to put down a $500 deposit. $150 for cleaning/usage fee + $350 refundable/incidental
  • Daily rates are from 8am-12am, if additional hours are needed to set up the day before or clean up the day after an additional $50 will be added for each day (if facility is available).
  • For events requiring insurance (more than 100) you MUST send in proof of insurance 10 days prior to your event and list UPRD as additionally insured in the amount of $1 million.
  • Underwood residents receive a 25% discount on the daily rate (must show proof of residency).
  • Daily rentals require a $500 deposit.
  • Hourly rentails require a $100-$200 deposit (depending on type and duration of event).
  • Deposits are refundable IF the facility is left as-found and our cleaning checklist is completed and signed.
  • Renters forfeit ALL deposits if the cleaning checklist in not completed and signed.

  • Rentals may require renters to obtain Special Event Liability Insurance. This insurance would protect you and your guest while using the property and is to indemnify against loss resulting from bodily injury and/or property damage.
  • The insurance must name the “Underwood Park and Recreation District as an additionally insured party”.
  • The liability insurance must be in the amount of $1 million.
Alcoholic beverages are allowed so long as the following requirements are met:

  • The renter must obtain permission to have alcohol from the Underwood Park and Recreation District Board.
  • Event insurance must be submitted to the UPRD 10 days prior to the event and displayed by the front door.
  • A Washington State Banquet Permit must be obtained and displayed by the front door.
